Working with Pipelines

Pipelines help you track opportunities through key stages of your customer journey — from new leads to closed or adverse outcomes.

While simple, pipelines are a powerful way to organize, update, and act on your active customers and prospects.


What Are Pipeline Views?

There are four fixed pipeline views, which represent different stages in the customer lifecycle:

  • Lead

  • In Process

  • Closed

  • Adverse

These views are not customizable, but they help separate your opportunities based on where they are in the journey.


🔹 Moving an Opportunity to a New Stage

To move an opportunity between stages:

  1. Click into the opportunity

  2. Click the Change Stage button

  3. Choose the new stage (e.g., from Lead to In Process)

This changes both the status and the pipeline view.

📌 For users integrated with your LOS:

If you are integrated with your LOS, files are not editable if they have been exported to your LOS or if they have been started in your LOS. Files will move through Milestones and Stages as the file is updated in your LOS.


🔹 What You Can Do from the Pipeline

From each pipeline view, you can:

  • Send an email to the contact

  • Create a task

  • Add a note

  • Update the opportunity status

Each opportunity row gives you quick access to these actions without needing to open the full profile.


🔹 Adding Fields to Your Pipeline

You can customize what columns appear in the pipeline:

  1. Click Edit Columns

  2. Choose which fields to display (e.g., email, state, source)

  3. Click Save

These fields help you scan and sort through opportunities faster.


🔹 Filtering the Pipeline

You can filter the pipeline view by:

  • Source

  • Tag

  • Status

  • Property state

Filters help narrow down large lists and prioritize your outreach.


🔹 Status + VIP Admin Workflows

Statuses can be customized via the VIP Admin system (admin users only).
Certain statuses may also trigger automated workflows, such as notifications or follow-up tasks — also configurable through VIP Admin.


🔹 Exporting Your Pipeline

You can export a pipeline to a spreadsheet. Exports include:

  • Contact name

  • Email

  • Phone

  • Address

This is helpful for reporting, backup, or offline follow-up.
